Legal hold notice

Suspends routine deletion and tells custodians exactly what to preserve, in writing, with a date.

Send the notice to system owners as well as custodians; automatic deletion is a system setting.
Record each acknowledgement with its date; renew the notice periodically while the matter is open.
Apply technical holds in the systems themselves (see SOP-07); a notice alone does not stop a retention policy.
